VS Health Benefits ("VS Health Benefits," "we," "our," or "us") is an independent health insurance advisory based in Miami, Florida. This Privacy Policy explains what information we collect when you use vshealthbenefits.com (the "Site"), request a quote, contact us, or use our Client or Admin portals, and how we handle that information.
The short version: We collect what you give us when you ask for a quote or get in touch. We use it to advise you and place coverage with carriers you choose. We do not sell your information. We share it only with the carriers and tools that are necessary to provide you with insurance options or run our practice.
1. Information we collect
We collect information in three ways: information you give us, information collected automatically, and information we receive from third parties.
Information you give us
- Contact details: name, email, phone number, ZIP code, mailing address, and similar information you submit through forms on the Site.
- Coverage information: the type of coverage you are exploring (individual, family, employer/group, Medicare, ACA, dental/vision, etc.), household size, employee count, current carrier, effective dates, and similar facts you share so we can provide accurate options.
- Health-related details you choose to share: general health questions, prescriptions, providers, or chronic conditions you mention so we can match you to plan networks and benefits. You are not required to share more than you are comfortable with.
- Account information: if you create a Client or Admin portal account, we collect a username, email, password (stored hashed), and any documents or notes you upload.
- Communications: emails, text messages, and call notes when you correspond with us.
Information collected automatically
- IP address, device type, browser, operating system, referring page, pages viewed, and time stamps.
- Cookies and similar technologies (see Cookies & analytics).
- Saved quote progress: if you begin a quote request, we automatically save what you have entered in your own browser (local storage) so you can leave and pick up where you left off. It stays on your device and is cleared when you submit or after a short time. If you check the optional "Save my progress" box on the quote form, we also store the partial details you entered in our systems so a licensed advisor can help you finish.
Information from third parties
- Health insurance carriers, general agencies, and quoting platforms when we run quotes on your behalf.
- Service providers we use to operate the Site and our practice (for example, hosting, form delivery, scheduling, e-signature, and analytics tools).
2. How we use your information
We use your information to:
- Respond to your inquiry and prepare side-by-side quotes;
- Submit applications to carriers you authorize;
- Service your policy year-round (claims questions, renewals, ID cards, ICHRA setup, etc.);
- Operate the Site and our portals, including troubleshooting, fraud prevention, and security;
- Send transactional messages (appointment confirmations, document requests, renewal reminders);
- Save and restore your quote progress so you can resume where you left off, and — only if you opted in on the form — follow up to help you finish a quote you started;
- Send occasional educational or marketing messages, which you can opt out of at any time;
- Comply with our legal, regulatory, and licensing obligations as a licensed insurance producer.
3. How we share your information
We do not sell your personal information. We share it only as follows:
- Insurance carriers and general agencies when you ask us to quote, apply for, or enroll in coverage. Each carrier handles your information under its own privacy practices.
- Service providers who help us run the practice, including hosting (Vercel), database/authentication (Google Firebase), CRM, forms, and follow-up (GoHighLevel), transactional email delivery (Resend), analytics and advertising measurement (Google Analytics and Google Ads), scheduling (Google Calendar), and email (Google Workspace and similar). These providers process your information only on our instructions.
- Professional advisors (legal, accounting, compliance) under confidentiality obligations.
- Government agencies and regulators where required for licensing, marketplace enrollment (e.g., HealthCare.gov), or compliance.
- If required by law, in response to subpoenas, court orders, or to protect our rights, your safety, or the safety of others.
SMS / text messaging & mobile information
If you opt in to receive text messages from VS BENEFITS LLC, d/b/a VS Health Benefits (for example, by checking the SMS consent box on one of our forms or by texting us first), we use your mobile number to send you the messages described in that consent — such as replies to your inquiry, quote information, appointment confirmations and reminders, document requests, and policy service updates. Message frequency varies. Message and data rates may apply. You can opt out at any time by replying STOP, or reply HELP for help.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, excluding aggregators and providers of the text message services that enable us to deliver messages to you. All of the sharing categories described above exclude text messaging originator opt-in data and consent.
4. HIPAA & protected health information
VS Health Benefits is a licensed insurance producer. In some interactions we may handle information that resembles protected health information ("PHI"). We treat any health-related information you share with us as confidential and use it only to advise you on coverage and to communicate with carriers you authorize. We do not disclose health-related information to third parties for marketing.
If you are an employer-client and we act as your group's broker of record, additional confidentiality and HIPAA-related obligations may apply under our written agreement and the carrier's terms.
5. Cookies, analytics & tracking
The Site uses cookies and similar technologies to keep you signed into the Client/Admin portals, remember your preferences, measure traffic, and — with your permission — measure our advertising. When you first visit, a consent banner lets you Accept all, Decline, or Customize which categories you allow, and non-essential cookies are not set until you choose. We group cookies into:
- Essential (always on): login sessions, security, and core site and form functionality. The Site cannot work without these, so they do not require consent.
- Analytics (optional): Google Analytics, to understand anonymous traffic and how the Site is used so we can improve it.
- Marketing (optional): Google Ads, to measure the performance of our advertising, Our CRM (GoHighLevel) supports our contact and follow-up tools.
You can change or withdraw your choices at any time using the "Cookie settings" link in the footer of the Site, or by clearing cookies in your browser. If you decline a category, we do not load those tools and we clear the related cookies. California and other state residents may treat declining the Analytics and Marketing categories as an opt-out of the "sale" or "sharing" of personal information for targeted advertising.
6. Your rights & choices
You can:
- Request a copy of the personal information we hold about you;
- Request correction of inaccurate information;
- Request deletion of your information, subject to record-retention rules that apply to licensed insurance producers;
- Opt out of marketing emails or text messages by replying STOP, clicking the unsubscribe link, or emailing us;
- Withdraw consent for us to continue acting on your behalf at any time;
- Manage cookies and withdraw your analytics or advertising consent at any time using the "Cookie settings" link in the footer of the Site.
Residents of California, Colorado, Connecticut, Virginia, Utah, Texas, Oregon, and other states with comprehensive privacy laws may have additional rights, including the right to opt out of the "sale" or "sharing" of personal information and of targeted advertising — which you can exercise directly through the "Cookie settings" link in the footer. 7. Data retention
We retain personal information for as long as needed to provide our services and as required by state and federal record-keeping rules that apply to licensed insurance producers (typically several years after the policy ends or the relationship concludes). When we no longer need your information, we delete or de-identify it.
8. Security
We use reasonable administrative, technical, and physical safeguards to protect the information in our care, including encrypted transmission (HTTPS), access controls on our portals, and reputable hosting and database providers. No system is perfectly secure; if you suspect that your account or information has been compromised, please contact us immediately.
9. Children's privacy
The Site is not directed to children under 13, and we do not knowingly collect personal information from children. If you believe a child has provided us information, please contact us so we can delete it.
10. Changes to this policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top reflects the most recent revision. Material changes will be posted on this page and, where appropriate, communicated to you directly.
